Next Year Information

During the weekend of December 4, 2020, the IT Department ran a process to update PowerSchool for the 2021-22 school year. This email provides important information to assist schools in identifying where students will be attending next year, as well as specific directions on how to properly enroll students for next year in PowerSchool. Please share this information with other appropriate school staff at your site.

Elementary and K-8 schools: Please take care to set Next School for incoming Grade K students who are expected to enroll at your school in 2021-22. Instructions are provided below. For students currently enrolled in grade -1 at preschools and Early Childhood Special Ed (ECSE), changes have been made to set Next School to Not continuing next year. If your school expects one of these students to enroll at your school in Grade K for 2021-22, you will need to change the Next School for the student.

Reports for Next Year:
The following reports provide information regarding where students will be enrolled next year. To run these reports, select System Reports, select the sqlReports tab, then look under the Enrollment reports:
•    Next Year All Students – Shows all students identified to attend your school next year (continuing or new students)
•    Next Year Incoming Students – Shows all students who will be attending your school next year where the student will be new (incoming students)
•    Next Year Outgoing Students – Shows all students who will be attending a different school next year (outgoing students)
•    Students Who May Be Missing Next School – Shows students where we may not know where the student will be attending next year. Use the Scheduling Setup page, in PowerSchool, to set the Next School for these students or to indicate the student is Not continuing next year.

IMPORTANT: Read the directions provided below to ensure you enroll students correctly for next year.

General rules for enrolling, transfer out and editing student enrollments:
Check and double check, anytime you are entering an Entry or Exit Date on any PowerSchool screen to enroll a new student, re-enroll an existing student or editing a current or previous enrollment record, always be sure you have the upper right hand Term set correctly.
1.    If the Term, in the upper, right-hand corner, is the 20-21 school year, your dates must be within the 2020-21 school year.
2.    If the Term, in the upper, right-hand corner, is the 21-22 school year, your dates must be within the 2021-22 school year.

Do Not Transfer Out/Drop students only to Pre-Register for next year:
If your student is currently enrolled, do not exit and re-enroll them into school with next year dates. Follow the instructions below for either scenario:
•    For students who are currently enrolled at another school, in the current school year.
•    For students continuing next year.

For students who are currently enrolled at another school, in the current school year:
If you need to enroll a student (for next year) who is currently enrolled at another school, you will need to make changes to the Next School and Next Grade Level for the student. From the Start page, select the District Student Search tab to search for the student you need to change, and make any necessary changes to the Next School and Next Grade Level.

For students continuing next year:
If you know a student will be continuing next year, please use the Scheduling Setup page to update the Next School to your school.

For students who are currently inactive:
If you need to enroll a student (for next year), who is currently inactive:
1.    Prior to enrolling the student at your school, change the Term to 21-22 (2021-2022). The Term can be changed in the upper, right-hand corner of the page. Charter schools must submit their 2021-22 term dates to the Charter School Office, which will send that information to IT. Charter schools will not be able to access PowerScheduler or enroll into 2021-22 until after IT has used those dates to configure the school for 2021-22.
2.    Find the student using District Student Search
3.    Click the pencil icon, in the School column, to access Student Transfer
4.    Use the Transfer to School tab to transfer the student to your school
5.    Use the Re-Enroll in School tab to pre-register the student at your school
6.    Set the Entry Date to the first day of school for next year, 08/30/2021 (adjust the date, if needed, at charter schools and other sites which begin earlier or later than August 30). Enter the appropriate Grade Level for next year, and select an appropriate Entry Code. For additional information, please refer to the Enrollment Handbook.
7.    Click Submit

For students who are new to the district:
1.    Prior to enrolling the student at your school, change the Term to 21-22 (2021-2022). The Term can be changed in the upper, right-hand corner of the page. 2.    Select Enroll New Student, from the Start page, in PowerSchool
3.    Set the Entry Date to the first day of school for next year, 08/30/2021 (adjust the date, if needed, at charter schools and other sites which begin earlier or later than August 30). Enter other information required for enrolling a new student. For additional information, please refer to the Enrollment Handbook.
4.    Click Submit
5.    If potential duplicates appear, double-check that the student you are trying to enroll does not already appear in PowerSchool
6.    Enter any additional information on the Demographics page
7.    Set the Next Year Grade Level and Next Year School for the student
8.    Click Submit

For students not continuing next year:
If you know a student will not be continuing next year, please use the Scheduling Setup page to update the Next School to Not continuing next year.

For secondary students who will not be continuing next year, please make note of where the student will be enrolled next year. Secondary schools will be required to provide the necessary information on the District Exit page, once the school year is over.

Transitional Kindergarten students:
Transitional Kindergarten students will generally be enrolled at the same school next year.
As new Transitional Kindergarten students are enrolled, school users will need to do the following:
1.    Enroll the student in PowerSchool as described in the Enrollment Handbook. Students in Transitional Kindergarten should be enrolled with a Grade Level of Kindergarten (KG).
2.    Schedule the student into a class with the Transitional Kindergarten (ETK) course
