Change in Pupil Drops Process for 2020-21

Change in Pupil Drops Process for 2020-21
Posted on 09/17/2020 at 09:32

The following information was recently shared in a memo with principals and other enrollment staff. Please share this information with any other staff who may need to be aware at your school site.

As part of the Official Enrollment annual activities, SDUSD's IT department typically performs a centralized "no show" pupil drop process during the second week of the academic school year, removing students who have not reported to the school from site rosters. Additionally, enrollment staff were previously advised that if a pupil is "no show" for 10 consecutive school days, the pupil may be dropped by the site. Historically, official enrollment was determined by the active enrollment on the 3rd Friday of the school year.

This year, in order to provide additional time for sites to reach out to families for pupil enrollment, 2020-21 school year drops by IT will be postponed by 2 weeks and conducted on September 25, 2020. The 10 day "no show" rule is being suspended during this time frame. "Third Friday" official enrollment count will now be on the fifth Friday of the school year (October 2, 2020).

Please do not drop pupils prior to September 25 unless:

·         A parent explicitly notifies the site that the pupil is enrolling in a new school

·         A cumulative records request is received from a new school indicating that the pupil has been enrolled elsewhere

As always, pupils with IEPs should not be dropped until verification of enrollment at another school is confirmed. Pupils in transition such as homeless, foster, or military must be provided with flexibility for enrollment relative to timelines, required paperwork, and verification of residency.

At this time site staff should implement outreach efforts to all families who have not yet reported to your school via School Messenger, Email blast, social media, signage/marquee message, personal call, and other site based communications. Sites may also offer Choice enrollment to new to district pupils who are not already enrolled in another SDUSD school.

Please note that the last day schools may transfer active students was yesterday, Wednesday, September 16, 2020. After Wednesday, September 16, 2020, schools will only have access to transfer inactive students using District Search and Student Transfer. Please refer to the Enrollment Handbook for information on transferring students.

IT Training will be offering one-on-one virtual open labs designed to support school staff responsible for enrolling students at their school. The individualized 20-minute open lab session will address issues, questions, and tasks related to enrollment. Register in Professional Learning and a 20-minute time slot and Zoom link will be sent to your sandi.net email. For more information, contact Liz Stevenson at [email protected].

For more information on enrollment policies and procedures please contact Marceline Marques, Operations Support Officer, at [email protected].
