Semester 2 Report Cards for Secondary Schools - REVISED

IT received some recent feedback about this communication sent on May 19, so it was revised to be clear that the direction was NOT to have schools hand out report cards to students, but instead to recommend maintaining a document of final reported grades at each school site and use as needed for other purposes such as checking final report cards for accuracy, etc.

We apologize for any confusion this caused.

Due to the unforeseen circumstances of COVID-19, the district will not be mailing out Report Cards at the end of this school year. Please refer all parents and students to the Parent/Student Portal for progress and final grade information. Secondary schools following the traditional calendar (including K-8) must still store final grades no later than June 12, 2020, at 3:00 PM.

A proposed checklist has been provided below, to assist schools with readiness prior to storing grades. Please review in its entirety.

1. Your first step is to complete the Semester 2 Report Card Mailer Questionnaire. The questionnaire is required, and must be submitted by Friday, May 29, 2020. Please contact Julie Schmidt ([email protected]) with any questions.

2. In preparation for storing grades and generating a local copy of your Report Cards, the following must be completed before attending one of the Virtual Open Labs:

  • Verify that no students are scheduled with ZZ Teachers.
  • Run the Missing Grades Report to ensure sure all grades have been entered. Schools using quarters or a “4x4” schedule must run this report twice, once for each term (for example, S2 and Q4).
  • Run the Report and Progress Report Flags report to verify that the appropriate contacts will receive a report card. Run this report even though we are not mailing Report Cards home at this time.
  • Run the Address Errors report to check for students with possibly incomplete or missing household or parent/guardian addresses. Report cards with incomplete or missing addresses will be returned by the Post Office to your school. Be sure to select Yes to run the report for report card errors only. Run this report even though we are not mailing Report Cards home at this time.

3. If applicable, coordinate with other schools to determine when you can store your grades for dual enrolled students, and verify this by running the following reports:

  • Taking Classes at Another School
  • From Another School, Taking Classes Here

4. Attend one of the Virtual Open Labs to store your semester grades. The Virtual Open Lab dates are currently June 10, 2020 from 12:30 - 3:00 PM and June 11, 2020 from 8:00 - 10:30 AM. Please register for one of these sessions in Professional Learning.
